Communication

  • Greet and receive visitors and direct them to the appropriate place.
  • Excellent time management and organization skills, especially prioritizing and multitasking.
  • Effective and professional communication abilities, including communicating with all levels of employees, vendors, customers, or guests.

Meeting and Travel

  • Prepare agenda for meetings and take meeting minutes.
  • Schedule meetings and arrange meeting rooms.
  • Alert the manager about cancellations or new meetings.
  • Managing multiple or complex calendars for meetings, travel and creating memos, reports and agendas as needed.
  • Manage travel and schedule.
  • Coordinate travel arrangements; prepare itineraries; prepare travel vouchers and records.
  • Making travel arrangements for in-office professionals and special visitor.

Events

  • Plans events and volunteer activities.
  • Coordinates office management activities.

Appointment and Documentation

  • Prepare confidential and sensitive documents.
  • Maintaining an appointment calendar, English translation, proofreading documents before they go out to company employees or stakeholders.
  • Setting up and maintaining confidential, sensitive files and records for multiple functions to ensure the efficient retrieval of information.
  • Disseminating memos, reports and other information to relevant colleagues.

Financial and Report

  • Prepare statistical reports.
  • Helps prepare office budget.
  • Negotiating with suppliers and vendors to gather quotes, order supplies, and maintain office inventory.
  • Preparing financial statements, invoices, letters and statements.

Other tasks that maybe assigned from time to time.

Skills and Qualifications:

  • Excellent communication skills, written and verbal in both Myanmar and English.
  • Commitment to discretion and confidentiality concerning sensitive company information a must.
  • Professional writing capabilities, including emails, memos, letters and other industry-related reports, documents and correspondence.
  • Project management skills, like goal-setting, budget management and planning.
  • Great customer service and interpersonal skills.
  • Good computer skills, including basic troubleshooting skills and Familiarity with word processing software for creating and contributing to spreadsheets, drafting and sharing documents and creating engaging and informative presentations.
  • In-depth understanding of the industry or office they work in.
  • The ability to communicate effectively and work collaboratively with staff members, customers, and external partners.
  • The ability to handle sensitive information with strict confidentiality and maintain a high degree of professionalism.
  • The ability to learn quickly, exercise good judgment, work well under pressure, and complete tasks promptly.

Job Requirements

  • College degree minimum; additional degrees or certifications a plus.
  • English fluency (reading, writing, speaking) is a must.
  • 3+ years of administrative, executive assistant and executive secretary experience.
  • The ability to effectively use standard business software such as Microsoft Word, Excel and to use the Internet for research and information-gathering
