Job Summary

Receptionists are responsible for greeting visitors, answering phones, sorting and distributing mail, and the day-to-day general administration of the organization. Receptionist has knowledge of commonly-used concepts, practices and procedures within a particular field. Rely on instructions and pre-established guidelines to perform the functions of the job.

  • Welcome visitors by greeting them, in person or on telephone; answering or referring inquiries.
  • Answering, screening and forwarding any incoming phone calls while providing basic information needed.
  • Direct visitors by maintaining employee and company directories; giving instructions
  • Maintain security by following procedures; monitoring logbook; issuing visitor badges.
  • Record all incoming visitors and submit daily report
  • Maintain telecommunication system by following manufacturer's instruction for house phone and console operation.
  • Maintain safe and clean reception area by complying with procedures, rules, and regulations.
  • Maintain continuity among work teams by documenting and communicating action, irregularities, and continuing needs.
  • Receiving and distributing daily mail/ deliveries/ couriers.
  • Contribute to team effort by accomplishing results as needs.
  • Perform as an Emergency Warden in an Emergency Situation to safe Visitors and tenant at Lobby Area
  • Systematically File the (Hardcopy/ Softcopy) document that related to Reception
  • Create and amend Receptionist SOP according to the Management instruction
  • Need to inform immediately Building Management Office if there is anything happen around Lobby Area

Job Requirements

  • Any Bachelor degree 
  • Proven working experience in a front office handling receptionist responsibilities
  • Proficient with Microsoft Office Suite
  • Solid Communication Skills both written and verbal (English/ Local Language)
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
