Summary of job

 Provide full administrative and secretarial support to the Chairman to ensure the smooth management of his day to day affairs, and most effective use of his time.

  • Welcoming and preparing the Chairman’s room setting and refreshments.
  • Managing Chairman’s office systems, including data management and filing.
  • Maintaining records of Chairman’s contacts.
  • Producing documents, briefing papers and presentations for the Chairman.
  • Scheduling meetings as per the availability of the chairman
  • Organizing meetings and ensure that Chairman is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.
  • Coordinating executive communications, including taking calls, responding to emails, and interfacing with clients.
  • Acting as the point of contact between the executives and internal or external colleagues
  • Assisting with miscellaneous special projects or duties as needed.
  • Any other duties as may reasonably be required by the Chairman.

Job Requirements

  • Educated to degree level or equivalent.
  • Experienced Personal Assistant at senior management level.
  • Ability to organize and plan own work.
  • Excellent attention to detail, with the ability to maintain a high level of accuracy.
  • A flexible, pro-active approach to work including the ability to priorities and re-priorities.
  • Ability to work on own initiative.
  • Ability to maintain confidentiality.
  • Positive attitude, Confident, and motivated person
  • Able to work under pressure, multiple jobs, and Keen attention to detail
  • Excellent IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint
  • Excellent communication skills
