Job Description

  • Provide office administration and general services to the employees and visitors in the offices and
    premises.
  • Manager day-to-day operations of all office services to ensure the organization’s administrative needs
    are met, including Safety and safety instructions, mail, pantry, reception, and visitor management,
    phone management, showroom management, and office decoration.
  • Coordinate and support office events.
  • Provide logistics support for all staff and visitors when requested by staff.
  • Oversee travel arrangements, domestic and international, including air tickets, hotels, transport,
    visa, etc. Coordinate travel and logistics.
  • Manage visitor services, together with the receptionist, manage cleaning, housekeeping, landscaping
    and general waste disposal services.
  • Work with contractors for daily operations, monitoring their performances and communicating for
    improvement of services, and verifying the claims.
  • Oversee procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Maintaining company records and ensuring the company maintains up-to-date compliance & certifications.
  • Procure office consumables, stationaries, pantry, and other items required in the office, through ERP
    approvals and outside purchases and managing them.
  • Negotiates the purchase of office and production supplies, materials, equipment, and services in accordance with company purchasing policies and budgetary restrictions.
  • Responsible for ensuring timely and accurate data entry and processing in the company’s ERP, time & attendance, and financial systems
  • Coordinates with vendors and outside services to ensure timely delivery and completion of materials and services, and to obtain timely quotes from multiple sources for quoting customers.
  • Maintains and updates filing system for the department. Retrieves information from files when needed.
  • Prepare Office budget, upkeep office monthly costs and optimize the actual cost and services
  • Performs other assignments as directed by the Manager.

Job Requirements

Job Requirements

  • Minimum 3 years of experience in Associate Manager role, preferably experience in large scale offices
  • Experience in housekeeping, security, catering and other office services
  • Strong ability to multi -task and prioritize multiple tasks while simultaneously meeting all goals and deadliness in a fast-paced entrepreneurial environment
  • Proactive, well organized and continuous strive for cost effectiveness and business excellence
  • Excellent English communication skills
  • Proficient in MS office applications, e.g Word, PowerPoint, Excel Experience in administering large scale offices
